Junior Policy and Project Administrator

IUFRO, the largest global network for forest science cooperation with 650 member institutions in more than 125 countries provides a comprehensive framework for advancing the state of knowledge and promoting research excellence in tackling the multiple biophysical, social and economic problems facing the world today. Amongst others, IUFRO hosts the Secretariat of the European Wood Policy Platform (woodPoP), which brings together representatives from pan European governments, the European Commission as well as representatives from 22 international, regional and stakeholder organisations including academia and industry.

Your tasks in assisting the Secretariat of the European Wood Policy Platform (woodPoP) include the support to the following administrative, communication and project management tasks:

  • Event and workshop management (venue, catering, local logistics);
  • Travel bookings (flights, hotels, visa procurement, transport);
  • Preparation and maintenance of participant records (database management);
  • General administration including preparation of quotations, invoices and accounting vouchers;
  • Communication with international participants, across an extensive network of governmental, academic and business contacts, both in Austria and across Europe;
  • Preparation of press releases, web news and other media content and upload to the platform website and social media channels, in coordination with the IUFRO Communication team;
  • Support to meeting preparations and follow-up, including drafting agendas as well as revising and editing documents, speaking notes and minutes.


Your profile

  • University degree or equivalent in Business Management, Economic Studies, Political Science, Law, Natural Resources Management, International Relations, or in any other field relevant the themes addressed by the offer.
    Specific knowledge on European or national forest and/or wood policies is not required, but is an asset. 
  • Good numeracy and organizational skills; experience in organization of larger events
  • PC literacy (particularly Excel spreadsheets, MS Office, Powerpoint); basic knowledge of website and social media management is an asset
  • Good command of English and German (other languages would be an asset);
  • Reliable and accurate way of working; and
  • Interest to work in a multi-cultural team.


Our offer

  • Minimum gross salary for this position (16 working hours/week): EUR 1.114,00 / month.
  • The position is foreseen until September 2026, with possibility for extension.
  • The position is based in Vienna, with flexible home office arrangements.
  • The position allows to develop an excellent network across different European countries.
  • Start of position: as soon as possible.
